Job description

Position Title: Project Coordinator

Duration: Permanent

Location: Warwick - Onsite

Work Activities & Responsibilities:

  • Integrate data to ensure compliance with the company management system.
  • Operate a policy of continued process improvement to increase the quality of services
  • Proactively contribute to the improvement of business development processes and resources
  • Support contractor issues and queries where required
  • Support colleagues and team members in their understanding of Contechs processes and project delivery
  • Support new sales opportunities with new and existing clients
  • Support CoC Leads to develop programme resource plans; external & internal resource to support program milestones
  • Receiving, understanding and processing Client RFQs
  • Log and Manage Client RFQs by processing into internal Contechs Operational Management System (COMS)
  • Manage Client Proposals, progressing COMS Proposal Stages and reporting accordingly
  • Preparation and ownership of Proposal Costings and Business Cases for Internal Review
  • Accurate and timely logging of Purchase Order receipt from the Sales Team into COMS
  • Progressing Customer Purchase Order stages within COMS
  • Creating and Progressing Job Codes and Job Budgets within COMS
  • Support Contechs Recruitment on offers and on-boarding actions effecting client focused teams
  • Raise and manage requisition forms where necessary
  • Raise and manage PAF forms where necessary
  • Facilitating Internal Commercial reviews and Change Boards
  • Reporting Commercial Status of Jobs as required
  • Costing and tracking customer support
  • Budget analysis and auditing as required
  • Support Invoicing Instruction as required
  • Take ownership of Job Projects by maintaining and reporting project trackers and issues escalated
  • Raising Job Trackers and Communicating expected renewal and end dates of projects
  • Work closely with the Contechs Finance and Accounts Department in provision of all commercial data
  • Provide instruction to invoice on projects
  • Provide necessary reports, anticipate and forecast trends and patterns within the company and across the market
  • Support Creation and tracking of commercial finances, budgets & financial reports
  • Manage Team Engineering Project Trackers
  • Support the approval and management of Engineering timesheets where required
  • Reviewing Hour Allocation to Jobs
  • Review Contract End and Tracker End dates and Report / Escalate Variances
  • Report non-PO covered Project expense
  • Progress Purchase to Pay Requests (Expenses and Third-Party Purchases)
  • Prioritise and track progress of projects in line with customer expectations, escalating where required
  • Provide resolutions for issues to ensure timely completion of all projects
  • Facilitate regular meetings with Contechs Teams / CoC Leads to ensure all team members are informed and progressing to plan
  • Supporting contractor IT and other issues where required
  • Support the planning and management of programme(s) resources to ensure objectives are met
  • Support the production of sales / engineering documentation for presentations
  • Support all commercials for quoting and report alignment to client rate cards
  • Produce documentation and working guides to support training requirements for staff across operational systems

Skills Required:

  • Articulate effectively at all levels within the business
  • Advanced capability in Microsoft Word/Excel/PowerPoint
  • Ability to work in a methodical manner
